You can reserve a field trip by filling out the form below.

Before submitting your reservation, please review our field trip packages online and choose the option that best fits your group.

When completing your reservation form, please estimate the total number of attendees, including:

• Students
• Teachers
• Chaperones
• Parents
• Siblings
• Grandparents or other guests

Please reserve space for the total number you expect to attend. Many field trip dates reach capacity quickly, and it is much easier for us to adjust your numbers later than to add space after a date is full.

When submitting your reservation request:

• Complete the online reservation form in its entirety.
• Provide both a first-choice and second-choice date and time.
• Include your best attendance estimate.

Popular dates fill quickly, so early reservations are encouraged!

Please allow 2–3 business days for a response.

If you have not heard from us after that time, feel free to contact us to ensure your request was received.

Please note: Your field trip is not confirmed until you receive a confirmation notice from Carter Mountain Orchard.

Approximately one week before your visit, we will:

• Finalize your attendance numbers
• Confirm your schedule
• Send your invoice
• Provide payment instructions

All participants are charged the same field trip rate, including:

• Students
• Teachers
• Chaperones
• Parents
• Siblings (non-participating children under the age of 2 will not be charged)
• Other guests

We offer one complimentary teacher admission for every 10 paying participants.

Because we are unable to track who participates in specific activities, everyone attending with the group (except bus drivers) must pay.

Payment must be received no later than the start of your field trip.

To help speed up check-in, we strongly encourage groups to pay before arrival using one of our available payment options.

Please note that we are unable to bill groups after their visit. If payment has not been received, we will be unable to begin your field trip experience.

Please contact us as soon as possible.

We’ll do our best to accommodate changes, but many dates book to full capacity. Flexibility with alternate dates and times may be required.

A little rain doesn’t stop the fun!

Field trips typically continue as scheduled during light rain or drizzle, so please plan and dress appropriately for the weather.

If severe weather is expected, we will contact you to discuss available rescheduling options.

On the morning of your visit, we may contact you between 8:00 AM and 9:00 AM (or while your group is traveling) to confirm final attendance numbers.

Please be prepared to provide counts by class if applicable. This helps our team ensure everything is ready for your arrival.

All activities take place outdoors, so we recommend:

• Comfortable, casual clothing
• Closed-toe shoes
• Layers, including a jacket or sweatshirt
• Sunscreen

Mountain mornings can be cool, while afternoons may warm up quickly.

To help prevent lost items, please label jackets and outer layers with participants’ names.

Please plan to arrive at least 15 minutes before your scheduled start time.

This allows time for:

• Restroom visits
• Bus parking
• Check-in
• Final questions

To keep all groups on schedule, field trips must begin at their reserved time.

If your group is arriving by bus

1. Pull up in front of the Apple Barn.
2. Please wait to unload.
3. A staff member will provide unloading and parking instructions.
4. The group leader should proceed to Field Trip Check-In to confirm attendance and receive the day’s schedule.
5. Once directed, participants may unload and proceed to the designated meeting area.

If your group is arriving by car

• Families should park and walk with their child to the Apple Barn.
• A designated meeting area will be available for your group.
• Once everyone has arrived, let us know and we’ll begin the check-in process.

Please note: Late arrivals may join the group in progress, but we cannot delay activities or provide refunds for missed portions of the experience.

We strongly encourage all payments to be completed before arrival, including payments for:

• Parents
• Siblings
• Chaperones
• Additional guests

Your field trip cannot begin until payment has been received.

Please coordinate with families and guests in advance so that all payments are collected and submitted before your visit.

We accept:

• School checks
• Major credit cards

Once your group is checked in, you’ll receive a detailed schedule for the day.

If your group is divided into classes, each teacher will receive a schedule outlining their activities and timing.

Teachers and chaperones are responsible for helping their groups stay on schedule, and our staff will be available to assist throughout the day.

If your schedule includes free time, you’re welcome to:

• Enjoy the mountain views
• Visit the market
• Purchase snacks or refreshments

For the safety of all guests, children under age 12 must be accompanied by a responsible adult while visiting the market.

Groups traveling by bus should begin loading approximately 10–15 minutes before departure to ensure an on-time return to school.

Absolutely!

Groups are welcome to bring sack lunches and enjoy them at our picnic tables.

Please make sure your schedule includes enough time for lunch, especially on busy orchard days.
